How to check your SAPS firearm licence status
Once your application is lodged you are not helpless. There are three ways to find out where it is, and one number you must have to use any of them.
You need your reference number
Everything depends on the reference number on the acknowledgement of receipt the Designated Firearm Officer gave you when you lodged. Without it you cannot check anything online and the station will struggle to find your file.
If you have lost it, go back to the station where you lodged and ask the DFO to look it up against your ID number.
Option 1 — the SAPS online firearm status enquiry
SAPS runs a public status enquiry on its own website. You enter your reference number, or your firearm's serial number together with the reference number, and it returns the current status of the application from the Central Firearms Register.
It is free and available to anyone. It is also occasionally offline, and the status wording can be terse.
Option 2 — the SAPS mobile app
SAPS publishes a mobile app that includes a firearm enquiry, using the same reference number.
Option 3 — your Designated Firearm Officer
The most informative option and the most underused. Your DFO can see where the file actually is and often why it is sitting. Go in person to the station where you lodged, take your receipt and your ID, and ask politely. Phoning the Central Firearms Register in Pretoria almost never achieves anything a station visit would not.

What the statuses mean in practice
| What you see or hear | What it usually means |

| No record found | Either the reference is entered wrong, or the file has not yet been captured on the system at the station. Give it time, then ask the DFO to confirm it was captured. |
| Received / in process | It is in the system and moving. Nothing to do. |
| Pending / under consideration | Sitting with the Central Firearms Register awaiting a decision. This is the longest stage. |
| Approved | Decided in your favour. The card still has to be printed and sent back to your station, which takes further time. Wait to be called, then collect in person. |
| Rejected / refused | You have 90 days from the refusal to lodge an appeal on the SAPS 530. Do not let that clock run out. |
