Documents you need for a SAPS firearm licence
Most applications are sent back at the counter, not refused at the Central Firearms Register. It is almost always a document — missing, expired, uncertified, or the wrong one for that applicant.
Everybody needs these
- Certified copy of your ID. Both sides if it is a card. Certification is valid for three months at most offices, so do not use one from last year.
- Proof of residential address. A municipal bill, bank statement or lease in your name, generally not older than three months. If the bill is in somebody else's name you need an affidavit from them plus their proof of address.
- Passport photographs. Two, recent, plain background.
- Fingerprints. Taken at the SAPS office when you lodge.
- Proof of safe storage. Your safe and evidence it is properly fixed — see safe storage requirements.
- Your motivation letter. How to write it.
For a firearm licence, add
- Certified copy of your competency certificate for that type of firearm, still valid.
- The firearm's details — make, type, calibre and serial number, exactly as they will appear on the licence.
- Proof of how you are acquiring it — the dealer's paperwork, or the seller's details and licence if it is a private sale.
- Association or club membership, if you are applying under Section 15, 16 or 17.
- Dedicated status confirmation from your association, for Section 16.
For a renewal, add
- Certified copy of the existing licence — the white card.
- Certified copy of your valid competency for that firearm type.
For a competency application, add
- Your training certificate or statement of results from a SAPS-accredited training provider.
For a Section 20 business application, add
- Company registration documents (CIPC).
- PSIRA registration, for a security business.
- SAPS accreditation, for a training business.
- The nominated responsible person's details and their own competency.
- The business's firearm register arrangements.
Documents that do not apply to everyone
Not every document on a generic internet checklist applies to you, and producing one you cannot possibly have wastes weeks. Some real examples:
- A statement of results is issued against unit standards. An attendance certificate does not come with one, and Regulation 21 assessments do not produce one at all.
- A PSIRA registration means nothing for a game ranger or a farmer.
- An employment letter cannot exist if you are self-employed, retired, or have not started the job yet.
- A FAR number belongs to a firearm dealer, not to every business.
- You do not attach a competency certificate to the application for that competency.
If a checklist demands something that cannot exist in your situation, that is the checklist being wrong, not you. Say so at the counter and ask what the office needs instead.
Certification: the detail that sends people home
Copies must be certified by a commissioner of oaths — SAPS station, post office, attorney, bank. The certification stamp must be original ink on the copy, not a photocopy of a stamp, and most offices treat certification as valid for three months. Take more certified copies than you think you need.

Do I need an employment letter for a firearm licence application?
Only if you are employed and the application depends on it. If you are self-employed, retired, or have not started the job yet, the letter cannot exist and should not be demanded — explain your employment status instead.
Do I need a statement of results from my firearm training?
Only if your course was assessed against registered unit standards. An attendance certificate does not come with one, and Regulation 21 assessments do not produce a statement of results at all.
